This privacy policy is intended for:
• Schools in which we deliver tuition.
• Pupils enrolled in lessons with the Music for Schools Foundation and their parents/carers.
• The self-employed tutors teaching on behalf of the Music for Schools Foundation.

The purpose of this policy is to explain how the Music for Schools Foundation uses the information we collect from the above parties. The Music for Schools Foundation is a ‘data controller’.

What Does This Policy Cover?
This Privacy Policy applies only to your use of Our Site. Our Site may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

What is Personal Data?

Why we need your personal data

The Music for Schools Foundation will use the information you provided in your initial enrolment and may amend or supplement this with additional information which you provide subsequently to your enrolment.
Personal data that we may collect, use, store and share (see Data Sharing below) about individuals includes, but is not restricted to:
• Your full name and title;
• Postal address, email address and phone number;
• Your child’s name
• Your child’s date of birth
• The name of the school that your child attends
• IP address;
• Any relevant individual educational needs;
• Details of any medical conditions;
• Attendance information
• Safeguarding information;
• Details of any support received;

Why we use this data
We use this data to:
• Administrate, organise and deliver tuition;
• Manage pupils’ enrolment for, participation in, and progression through the Music for Schools Foundation scheme;
• Provide educational support to parents and pupils;
• Provide pupil progress reports;
• Provide appropriate pastoral care and ensure welfare of children;
• Protect pupil welfare and meet our legal obligations relating to child protection and safeguarding;
• Assess the quality of our services;
• Carry out research;
• Comply with contractual/regulatory obligations, e.g. reporting to the Charity Commission;
• Administrate payments and donations
• Advise you of opportunities to register for activities or events that are relevant to your child’s musical education;
• Further fundraising activities on behalf of the Music for Schools Foundation;
• Generate publicity and advertise the Music for Schools Foundation’s services;
• Promote events;
• Celebrate the success of our pupils and raise awareness of their achievements;
• Help achieve the charity’s objectives, which are: The advancement of musical education; To provide an opportunity for children of all ages to learn to play a musical instrument by increasing access to musical instruments in school; and by arranging musical concerts and musical workshops at all times during the school year and during school holidays; and by offering free tuition to children whose means prevent payment; To promote, encourage and organise school community bands; To do all other things and all other acts deemed by the trustees to be in the advancement of musical education.

Digital Images
The Music for Schools Foundation will occasionally take photographs and record videos of groups and performers at events organised by ourselves. The use of digital images will be restricted to promotional material for the Music for Schools Foundation, such as our printed advertising, website and social media accounts and we will always obtain further written consent before publication.

To ensure pupils’ anonymity, digital images will not be accompanied by any other personal information. Although we will carefully use images on the basis of our ‘legitimate interests’ (see above), we understand there may be occasions where individuals give good reason why we should withdraw certain images. If you ask us to withdraw an image with good cause, we will delete the photograph or video and not distribute it further. Images that might cause embarrassment or distress will not be used.

Data sharing
Where it is legally required, or necessary for the reasonable undertaking of our business activities (and it complies with data protection law) we may share personal information with:
• Schools – to ensure the effective provision of tuition;
• Central government (e.g. the Department for Education, the Charity Commission) – to meet our legal obligations to share certain information with it;
• Local government – to meet our legal obligations to share certain information with it, such as safeguarding concerns;
• Our auditors – to meet our legal obligation as a business and registered charity to be regularly audited;
• Tutors operating as self-employed contractors on behalf of the Trust – to enable them to contact you directly regarding a child’s tuition or ensemble membership;
• The Associated Board of the Royal Schools of Music examining board – to enter pupils for graded music examinations;
• Health and social welfare organisations;
• Professional advisers and consultants;
• Police forces, courts, tribunals.

Security of your personal data
We will put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your personal information confidential and as secure as possible.
Information will be stored for only as long as it is needed or required by statute and will be disposed of appropriately.

We will not transfer, process or store your data anywhere that is outside of the European Economic Area.

We undertake to report any data breaches in accordance with Data Protection Act and General Data Protection Regulations guidelines.

Your rights to your personal information
You have the right to request a copy of the personal information that we hold about you and to have any inaccuracies in this data corrected. Please use the contact details at the end of this policy if you would like to exercise this right.

How Can I Access My Personal Data?
If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.
